How to Create an Ontario Health Wait Time mapped Appointment Type in HYPEMedical_WTIS

This article explains how to create a new appointment type in HYPEMedical_WTIS for use in the Appointment Book, including WTIS-related settings, appointment colour, and Doctor Profile assignment.
Use this process when your clinic needs a new appointment type for scheduling, tracking, and displaying a visit or procedure. For WTIS-related workflows, the most important setting is Wle Required, which identifies the appointment type as a WTIS-related mapped procedure type.
In this example:
  • Appointment Type Name: C_NECK WOC
  • Appointment Length: 15
  • Appointment Category: Doctor’s Appointment
  • Doctor Profile (used here as the modality/facility profile): FCT. 
    Note: 
    Doctor Profile is used as the modality/facility profile.

This example uses the following naming convention:
  • C = CT
  • NECK = body part
  • WOC = without contrast
  • FCT = facility/modality profile
Using consistent naming helps staff recognize procedure types and can help align setup with Ontario Health WTIS / MPM workflow.

SysAdmin → Appt Book → Appt Types

Procedure

Step 1: Open the Appointment Type setup screen

  1. Log in to HYPEMedical_WTIS
  2. Click SysAdmin
  3. Select Appt Book
  4. Click the Appt Types tab
  5. Click Create Appt Type to open the wizard

Step 2: Complete tab 1 of the wizard

Enter the appointment type details.


Required fields
  • Name
    Example:
    C_NECK WOC
  • Appointment Length(s)
    Example:
    15
  • Appointment Category
    Example:
    Doctor’s Appointment
Optional fields
  • Service Code(s)
  • Diagnostic Code
For this example, leave the optional fields blank.
Checkbox settings
  • Active: checked
  • Allow Double Booking: checked
  • Patient Required: checked
  • Wle Required: checked
What Wle Required means
The
Wle Required checkbox flags the appointment type as a WTIS-related mapped procedure type.
Click Next.

Step 3: Complete tab 2 of the wizard

Choose how the appointment type will appear in the Appointment Book.

Fields shown
  • Title Colour
  • Colour
The preview panel shows how the booking block will look.
Click Next.
Step 4: Complete tab 3 of the wizard
Assign the appointment type to the correct profile.
  1. Locate the correct Doctor Profile
  2. Select it
  3. Move it to the assigned list
  4. Click Save

In this workflow,
Doctor Profile is used as the modality/facility profile.

Step 5: Confirm the appointment type was created
After saving, return to the Appt Types list and confirm the appointment type appears.

  • Name: C_NECK WOC

  • Doctor Profile: FCT
  • Active: Y
    This confirms the appointment type was created successfully.
Tips
  • Use a consistent naming convention with the MPM utility on Ontario Health's portal
  • Check Wle Required for WTIS-related procedures
  • Only enable Allow Double Booking if your clinic supports overlapping bookings
  • Make sure the correct Doctor Profile (used here as the modality/facility profile) is assigned
  • Confirm the appointment type appears in the list after saving
Troubleshooting
The appointment type does not appear
  • Confirm Save was clicked
  • Confirm Active is checked
The appointment type is not available for booking
  • Confirm the correct Doctor Profile was assigned
The colour is not correct
  • Reopen the appointment type
  • Update the colour
  • Save again
